Privacy policy

Positive ONE Corporation (the “Company”) sets out in this policy how it handles personal information and access information on the websites listed below that it operates as Positive ONE Group (the “Site”). This policy applies to all of these sites. The Company complies with the Act on the Protection of Personal Information, other relevant laws and regulations, and the guidelines of the Personal Information Protection Commission.

3. Information we collect

• Information you enter in the contact and quote request form: company or organization name, department, name, email address, phone number, inquiry type, products and technical requirements under consideration, inquiry details, and attachments
• Information automatically added and recorded when the form is submitted: URL of the page the form was submitted from, items you selected in the product diagnosis and selection feature, submission date and time, and the source IP address
• Information automatically collected when you browse: IP address, browser and device type, referrer URL, pages viewed and date/time, actions on the site (button clicks, site search terms, etc.), and identifiers such as cookies

4. Purpose of use

• Responses to inquiries, and provision of quotes, documentation, and evaluation versions
• Proposals for product configurations, responses to technical inquiries, and adoption support
• Post-contract support, maintenance, and license renewals, and important notices such as product updates and end of life (EOL)
• Analyzing usage of the Site and improving its content and usability
• Secure operation of the Site, including prevention of fraudulent submissions

If we use personal information beyond the scope of the above purposes, we will obtain your consent again.

5. Provision to third parties

Except as required by law, we do not provide or sell personal information to third parties without your consent. When we refer technical questions to product manufacturers (including overseas manufacturers), we share only the technical information needed for the answer. If your name and contact details must be provided to issue evaluation versions or licenses, or for handling by a partner distributor you designate, we will inform you of the recipient and its country and obtain your consent in advance.

6. Outsourcing and third parties located outside Japan

The Company exercises necessary and appropriate supervision over its contractors. Akismet is used through Netlify. The providers above are located in the United States, and inquiry contents and browsing information are processed and stored outside Japan. For the U.S. system for protecting personal information, please refer to the survey of personal information protection systems in foreign countries published by the Personal Information Protection Commission. For the measures each provider takes to protect personal information, see the Netlify privacy policy and the Google privacy policy. The Company will also provide information on these measures upon request. When you submit the form, you consent to this policy, including handling by providers located abroad. If you do not want your information handled outside Japan, please contact us by phone (03-3256-3933) instead of using the form.

7. Cookies and access analytics (Google Analytics)

The Site uses Google Analytics 4 to understand and improve usage (the measurement ID is as shown in the table in Section 1). Google Analytics uses cookies (_ga, _ga_) to collect information about pages viewed, date and time of viewing, referrer, device and browser type, approximate region, and actions on the Site. Form entries such as your name, email address, phone number, and inquiry contents are not sent to Google Analytics. Strings in URLs or search terms that look like email addresses or phone numbers are masked before being sent. Advertising features (ad personalization, remarketing) are not used. • Visitors from the European Economic Area (EEA), the UK, Switzerland, and Turkey: Until you select “Accept” in the banner at the bottom of the screen, no analytics cookies are set and no data is sent to Google Analytics.
• Visitors from other regions: Measurement is performed for the purposes above. You can opt out at any time.
• Changing your choice: You can change your consent or refusal at any time with the “Change cookie settings” button below (also available from “Cookie settings” at the bottom of each page). Your choice is stored in the cookie “p1_consent” (valid for about 13 months) and applies to all subdomains of positive-one.com. You can also stop collection with the Google Analytics Opt-out Browser Add-on or through your browser’s cookie settings.
• Even if you decline, you can still browse the Site without any problems.

9. Retention period

• Inquiry details: Retained after your inquiry has been handled, in preparation for ongoing support and future consultations, and deleted once no longer needed. To request deletion, please contact the office listed in Section 13.
• Analytics data: Retained for the period set in Google Analytics (up to 14 months) and then deleted automatically.

10. Security control measures

We take necessary and appropriate measures to prevent leakage, loss, and damage, such as serving all pages over HTTPS to encrypt communications and limiting access to inquiry contents to staff who need it for their work. We require equivalent controls from our contractors. Please do not enter confidential information such as passwords or private keys in the form.

11. Requests for disclosure and other actions

If the individual requests notification of the purpose of use, disclosure (including records of provision to third parties), correction, addition, or deletion of content, suspension of use or erasure, or suspension of provision to third parties of retained personal data, we will respond without delay in accordance with the law after verifying the individual’s identity. Please contact the point of contact in Section 13.

12. For users outside Japan

For use from the EEA and the UK, we are the controller. We handle inquiries as steps toward entering into a contract or based on our legitimate interests, and use analytics cookies based on your consent. You have the rights of access, rectification, erasure, restriction of processing, data portability, objection, withdrawal of consent, and lodging a complaint with a supervisory authority. Japan has received an adequacy decision from the European Commission. Transfers to service providers in the United States are based on safeguards such as the standard contractual clauses adopted by each provider. If you have rights under the laws of other countries or regions, please also contact the point of contact in Section 13.

14. Revisions to this policy

We may revise this policy in response to changes in laws or our services. If we revise it, we will publish the revision on this page and announce important changes on each site. This policy is published in multiple languages; in case of any discrepancy, the Japanese version prevails.
